We hosted an on-site matcha experience for a group of 100 international visitors at Meiji Kinenkan in Tokyo. Here we share how we handled the unique challenges of a large-scale event — including English support, dietary restrictions, and smooth logistics.

Matcha experience at Meiji Kinenkan

The experience in action at Meiji Kinenkan

Event Overview

Venue: Meiji Kinenkan, Minato, Tokyo

Participants: Approx. 100

Group: International visiting delegation

Program: Matcha experience (lecture + hands-on session)

Languages: Japanese & English

What We Did

Lecture Corner

Tea ceremony history, philosophy, and tools were introduced in English.

Rather than simply reading from handouts, our instructor guided participants through the actual tools — tea bowl, chasen, tea scoop, and natsume — encouraging questions and creating a warm, interactive atmosphere.

Matcha Experience Corner

Matcha whisked by our instructors was served to all 100 guests.

For sweets, we selected wasanbon — a traditional Japanese dry confection made from sugar alone, free from gluten, dairy, eggs, and nuts — so that every participant, regardless of dietary restrictions, could enjoy the same treat.

How We Handled 100 Guests

A large group requires careful planning. Here is what we did:

We used a rotation format, alternating between the lecture and experience corners, so all 100 guests could participate within the allotted time.

An English-speaking staff member was on hand throughout, ensuring international guests felt comfortable and informed at every step.

Guest Feedback

“It was an incredibly valuable experience.”

“I was so happy to finally understand what tea ceremony is all about.”

We received enthusiastic responses from many participants on the day.
